Guide
Do canned replies work on conference attendees?
No. Across 810 replies at two 2026 shows, a message written for the specific person kept the conversation alive 52% of the time (116 of 223); the template kept 24% (139 of 587). A canned thank you after a connection was accepted got a further message 12% of the time; a generic day three nudge, 0 of 4. After an attendee asked a question, every canned response we sent ended the thread.

Why do templates fail at the reply stage?
A first message can be a template because the attendee has no context yet. A reply is different: they said something specific, and a message that does not engage with it reads as broadcast. Twelve attendees asked questions at Affiliate World; the four who got the canned line or nothing went quiet, the ones who got a real answer mostly continued.
What does a good reply contain?
- The literal answer to what they asked, with a real fact. If you do not have the fact, say who does and when they will have it.
- One discovery question about their side: volume, geography, what they are buying or selling at this show. Not a second pitch.
- A concrete next step: two real times in their timezone and a booking link, or a request for their preferred channel.
- Nothing invented. No price, cap or claim that is not already yours to state. One wrong number ends the deal later.
Can this be done at scale?
Yes, if the system is grounded. ShowSDR drafts replies from three things: the thread, the attendee's profile, and a knowledge sheet the client wrote (what they sell, who they want, their facts, their voice, their hard rules). A checking step rejects any draft that states a number or a claim not in the sheet, and any question the sheet cannot answer goes to the client instead of getting a made up answer. The result reads like the client on a good day, because it can only say what the client said.
How fast does the reply need to be?
Within hours. Replies within 6 hours kept 67% of conversations going; after 24 hours the rate dropped to 33% to 55%. The median in these hand run campaigns was 48 hours, and 89 of 181 active threads ended on the attendee's unanswered message. Speed and specificity together are the whole game.
Questions
What reply rate do templated messages get on conference apps?
As a first touch, 24% to 26% in our Whova data. As a reply to someone who already engaged, templates kept only 24% of threads alive versus 52% for a custom reply.
Should I send follow up nudges?
Only if they say something specific. Generic day three nudges got 0 replies out of 4; the client's own short personal notes got a reply 54% of the time.
How does ShowSDR avoid inventing facts in replies?
Every draft is grounded in the client's knowledge sheet and checked before sending; a draft that states a number or claim not in the sheet is blocked, and off sheet questions go to the client.
What should I do when an attendee asks a question I cannot answer?
Answer what you can, say plainly who has the rest and when, and ask one question back. Never paste a template after a question.
