How many meetings should a trade show booth produce?
As many as the attendee list allows, not as many as the booth traffic brings. Work back from the app: attendees × share who match you × share you reach before the show × reply rate × share who ask for a meeting × share agreed × show rate. The last row is the honest one: after the show nobody logged which meetings happened. Build the outcome capture before the show, or you will never know your real cost per meeting.
What does a meeting cost?
Cost per meeting held = everything you spend on the show ÷ meetings held. Sponsor and exhibitor packages at one 2027 insurance show run from $4,850 to $30,000 before travel and staff. At $20,000 all in and 10 meetings held, each costs $2,000; reach twice as many matches before the show and it halves. Adding a $2,500 outreach campaign that doubles agreed meetings lowers the cost per meeting; adding a bigger booth rarely does.
Where do exhibitors lose the most?
- Reach. A booth team messages a few dozen people by hand. The app held 543 matches. That gap is the whole opportunity.
- Timing. Messages sent during the show replied at the same 26% but produced zero agreed meetings. The pre show weeks are where meetings are made.
- Response time. Median reply to an interested attendee was 48 hours in our data; conversations answered within 6 hours continued 67% of the time, after 24 hours 33% to 55%.
- Capacity. One rep holding 14 agreed slots plus a booth no showed at least 5 of them. Book to the capacity you can staff, route the overflow to online calls after the show.
What is a realistic target?
For a mid size B2B show with 800 to 1,500 attendees in the app and a clear target description, 10 to 20 agreed meetings before the show is what the measured rates support. Bigger lists scale it; a vague target description shrinks it faster than anything else.
